Hot Tub Guest Message Templates for Cape Fear Rental Hosts: Pre-Arrival, Check-In, Mid-Stay and Checkout
Almost every hot tub problem at a Cape Fear beach rental starts with a guest who did not know something: that the cover has to go back on, that the water takes an hour to recover after a soak, that a bath bomb will foam the tub for a week. House rules on a laminated card help, but guests read their phones far more than they read the fridge. A short sequence of messages — before arrival, at check-in, mid-stay and at checkout — heads off most of the calls that lead to bad reviews, and makes the professional hot tub maintenance you pay for actually hold between visits.
Below are the four messages we recommend to hosts from Carolina Beach to Surf City, with copy you can paste into Airbnb or Vrbo scheduled messaging and adjust for your own spa.
Why hot tub guest message templates matter at Cape Fear beach rentals
A backyard spa in Oak Island or Kure Beach carries loads a suburban tub never sees: sand off the beach path, sunscreen from four bathers at once, a cover left open on a 90-degree afternoon, and a turnover window of a few hours. You cannot be there, and your cleaner has ten other things to do. A scheduled message reaches the guest at the moment they are deciding whether to rinse off first, how long the kids stay in, and whether that bottle of bubble bath is a good idea.
Message 1 — three days before arrival: set expectations
“We’re excited to host you at [house name] in Carolina Beach! A quick note about the hot tub: it’s professionally serviced and will be heated to 102°F for your arrival. The two things that keep it clear all week are rinsing off sand and sunscreen before you get in, and putting the cover back on when you’re done. Please leave the bubble bath, bath bombs and glassware inside — the tub’s plumbing and your feet will thank you. Full spa instructions are on the card next to the control panel.”
Three days out is early enough that guests read it and late enough that they remember it. Mentioning the service signals that the water was tested by a professional, not just topped off with a scoop of chlorine.
Message 2 — check-in evening: the practical stuff
“Hope you’re settled in! Hot tub quick-start: lift the cover with the lifter bar (don’t drag it), press JETS for bubbles and LIGHT for the LED. The temperature is set to 102°F; it will drop a few degrees while you soak and recover within an hour with the cover on. Please keep soaks to 15–20 minutes for kids and anyone who’s been in the sun all day, and no glass on the deck. If anything looks off — cloudy water, an error code, cover damage — text me a photo and we’ll handle it.”
That last line matters. Guests who are invited to report a problem early usually do; guests who are not wait until checkout and put it in the review instead.
Message 3 — mid-stay: warn them about the service visit
On a week-long booking at Surf City or Topsail Beach, a mid-stay water check is standard. Guests hate surprises in the backyard, so tell them.
“Heads up: our hot tub tech will stop by Wednesday between 10 and noon to test and balance the water. They’ll be in the backyard for about 20 minutes and won’t need to come inside. The tub is fine to use the rest of the day — just give it an hour after the visit for the fresh sanitizer to settle.”
If your tech sends a test-strip photo and a note, forward one line afterward: “Water tested perfect today — enjoy the rest of the week.”
Message 4 — checkout morning: protect the turnover
The turnover crew can lose an hour to a spa left uncovered, drained by a curious guest, or set to 90°F to “save power.” Ask for three things, and nothing more.
“Thanks for staying with us! Before you head back over the bridge: please put the hot tub cover on and clip the straps, leave the temperature where it is, and let us know if anything about the spa needs attention. Safe travels — we hope to see you again next summer.”
Making the sequence work
Use the platform’s scheduled-message tool so every booking gets the same four notes automatically. Keep each under 120 words; guests skim. Match the rules to your spa tech’s instruction card so the guest hears one story, and update the mid-stay message whenever your service day changes — a tech showing up unannounced undoes the goodwill the other three messages built.
